hello,

I am trying to help a small community here with their Macs (so it was setup by someone else…..)

We got 4 Mac mini m1‘s here. And it’s being communally used by less than 10 people. Basically all four are setup as duplicate with multiple local user accounts (general use, finance, transport & secretary, admin) — so any mac that is available can be used by anyone since all macs have these multiple local user accounts. The admin account is basically to make changes or install stuff on the macs. The other accounts have all their own ways of accessing their information on their google email.

Currently we have only 2 apple IDs For all these accounts / macs
Admin Apple ID - AAD) this account currently has all the purchases and manages the Macs, and is used only by the admin user account. Purchases are made for books, videos and apps.
General Apple ID - GAD) this account has the calendar, contacts and icloud drive and is being used by all other accounts. So every user account (except admin) can and should be able to access the shared info.

Since non-admins are not allowed to ‘purchase’ anything, currently the non-admin accounts are signed in using ‘both’ Apple IDs. The GAD is used for the user account, and the AppStore is signed using AAD.

They have requests:
1) they wish to start using more icloud storage so plan to pay storage for GAD account.
2) they also have a few iPads they wish for communal use

So the questions I have is, is this the best way to deal with this using these 2 Apple IDs and try to share them like this? I have heard of MDM, not sure if this make it easier? Do we need to combine these Apple IDs into a family setting?

Note: the people here are no experts, so if we can keep it as simple as possible that’s best. I don’t think it helps them if I create more Apple IDs for each account and then share the calendars through these Apple IDs/local user accounts etc.

MDM is an option, worth looking into.

Short of MDM, I'd certainly set up the two accounts in a Family, so that apps purchased by the Admin can be installed by a General user.

You might also look into using the Admin Apple ID in Settings > Name > Media & Purchases. That should work on both Mac and iPad.
