Can I just walk in the apple store without an appointment for trade in?
and how long do I have to wait for them to make sure everything is clear?
 
Depending on the store and customer's inside, one of the reps can process both trade ins and issue both gift cards.
 
I’ve done 3 trade-ins in store in the last year. It only takes a few minutes once they get someone to work with you. They’ll look over the device, power it on, give you an offer, and the you accept and get your receipt on one of their iPhones they carry around. Then, they give you a gift card on the spot and it works right away. I added it to my AppleID in the parking lot. You would then use it as a payment method when preordering.

If we have a 13 pro max, I guess we have to wait to get the trade in amount until September 16?

I'm not sure the exact date, but yes, you will have to wait for the new iPhones to trade in any 13 series model. At the time of the 13 series launch last year, the 12 Pro Max was going for $790 trade-in, so hopefully you will get a similar value or better for the 13 Pro Max this year.
