Upgrading from my custom ordered 2019 16 MBP 2.3GHZ 8-Core i9 with 2TB and 64GB memory. I am a business executive and don't do alot of photo/video editing, etc. Instead, max battery life is most important to me, and the ability to have several apps running at once. Budget is not an issue, but it seems the M4 Pro is better than Pro Max if I'm wanting less heat and longer battery life? And I guess I'll need to custom order again, it's insane to me the M4 Pro only comes with 512GB storage in both configurations? I am currently using a little over 1TB of storage on the 2019.. Knowing what I'm looking for, and with no set budget, what spec should I order?
 
Except for bragging rights, it really doesn't matter which one you get.
Just get big enough storage/SSD.
It'll be fast enough for your tasks.
 
Don't be afraid to check out the Refurbished ones. I need 2TB and got a Max from the Refurbished section. Battery is amazing comapred with my 2019 machine, and it doesn't get hot. I do some video and photo editing, and the M4 Max is way snappier than what was a top of the range i9 machine.

I mean you'd be fine with the same spec you have now by the sounds of it (i.e. 2TB and 64GB)

Since it seems you keep your machines for a long time, if budget allows then 4TB will give you more longevity, but it's pricey at Apple rates and you don't really need it. 64GB seems like massive overkill for your stated tasks, so I don't think you need to go higher there. M4Pro or MAX will do fine. Do know that M5 is likely to come out in the fall.

Is there a reason you wouldn't consider a 15" Air? I think it would crush your stated use case.

MacOS is pretty good at managing apps; but obviously more RAM is better. However, if your use is just MS Office, web, mail, Zoom, and a few other things, then I'd say 64Gb is actually more than you'll ever need. I have 32Gb RAM, and have things like Affinity Publisher, Designer, Photo, Logic, FontLab, Xcode, Dorico running together without any problem.

I'd suggest you don't need a super powerful CPU: even the base M4 will be good enough; something like 36 - 48Gb of RAM will be plenty; and you can spend your savings on disk storage.
 
i'm a business exec.
I use a MacBook Air 15".
It's better than my boat-anchor MacBook Pro 16" I'm forced to use for some engineering tasks at my company.
(except for battery life)
