Can someone explain the process to me ? I.e. Can you do it all online or do you have to send things off?

Does it take a while to come through?

Best to get it in cheque or bank transfer ?

Online and post based on my past experience.

Basically you need to fill in and print out a form online, then attach with the completed form your proof of purchase (i think it is the sticker on your macbook/imac box and printer box), send it to the address mentioned. It should take 2-3weeks for the cheque to come back.

That was last year. Probably still the same this year
