Has anyone used or looked into alternatives to Outlook for Mac? I need to retain a copy of my correspondence for legal purposes, and printing-to-pdf one email at a time is just not feasible. I've contacted Outlook for Mac support. They first told me the developers were aware of the issue and were working to fix it. It's been weeks and I've contacted them again, and they have now told me it's simply not a feature.


I like the previous version of outlook. I use a lot of sub-folders and do not like the conversation grouping that the new version of outlook has. Any suggestions for an alternative email client that is set up similarly to outlook for Mac with plenty of storage capacity?

Can you elaborate on your use case? My knee jerk reaction would be Apple Mail to store a copy, but it cannot magically bulk export to PDF.

Sure. Let's say I have 150 emails pertaining to a specific file/case. Using outlook for Mac, I have always been able to select/highlight all 150 emails at once and then print to pdf. I would end up with one pdf attachment that's 300 pages that I could send to the records retention department on behalf of my clients. I no longer have this option. I did try it with apple mail, and it works. However, I like the setup of the outlook software and want to make sure I'm using an email system that is intended for business use with high quality security support/encryption. Is that the information you're looking for?
 
just to save you time for research: Spark, which I use on all Apple platforms and am very happy with (generally more happy than with Outlook or Apple Mail), does also NOT support this feature.
If I was you and this was strictly necessary, I would continue using Outlook, and just move over to Apple Mail for bulk printing purposes.
 
I just tried the print-to-PDF feature in the new Outlook, and it worked fine. You can flip between versions quickly if it's deprecated on old Outlook.

Neither the old nor the new UI supports bulk print (to PDF). Only single emails.

It's worth noting that Apple themselves use Apple Mail for corporate communication. I was going out with someone who worked in engineering at Apple and I was surprised when they said that Apple use Apple Mail and Apple Calendar for all their internal communications.

I was a bit skeptical but I went back and checked the headers of some emails I'd received from @apple.com and yep, they do indeed use macOS Mail!

Is that because you upgraded to a new version, but one different than the latest? The latest Outlook for Mac, version 16.76.1, has the pdf feature you want. The conversation grouping can be turned off in "Settings..." and you can organize emails into folders.

why would Apple NOT use Apple Mail internally? 🤔

Agree, it doesn't bulk "export", but:

printing-to-pdf one email at a time is just not feasible
Apple Mail's Print to PDF "prints" all selected emails in a single PDF.

For most purposes Apple Mail is functionally better than Outlook.

What has me confused about the OP's post is that Outlook does the same thing.

I agree. If I select a bunch of emails in Apple Mail, I have two options. I can either print the all to one PDF or select "Export as PDF..." and get one PDF for each email.
