File copy from server locks files and folders

we are running the latest version of osx server and most clients have the latest macOS version.
file sharing on the server is on for restricted users. everybody connects to the file share with the admin account (i did this to prevent a change of ownership rights, with no result)

at random when employees try to copy files or folders from the server they get a message that the file is in use by someone else (which is not the case) or that they do not have enough permissions to copy the files (they are connected as admin???)

we have both SMB and AFP enabled

It might have to do with the permission on the folder the safe is in. O S x server seems to use folder permissions too. So make the folder persons to Admins that share that servers that folder.

If you have all users use one login name this will happen and you can't stop it. They each need their own account then you can set up a share point where they can collaborate if need be.

I just deleted all users because of this issue.
I will create them again, do I have to do anything to 'reset' the rights on all files?

The data disk they use (external 4tb disk) is filled with projects they all work on.
So I do not know what you mean with 'set up a share point'
