My mother-in-law is in town for just a few days and lives about 1700 miles away from me. I want to upgrade her old iPhone and iPad to newer models (both of which I have in-hand). Should be pretty straightforward. Like me, she has a separate email address (xxx@gmail.com) for her old App Store purchases and Apple Music and a different one (xxx@icloud.com) for iMessage, Facetime, Calendar, GameCenter....everything else. Fine.

Well, while starting the transfer, apparently she didn’t recall or write down the correct password for the App Store account. We tried what she thoguht and several and also the password reset, but after too many attempts the account got locked and now stuck for a 7-day review period (which of course exceeds her visit with us). I even called Apple to see if they could do it sooner or even if she and I went to the Genius Bar together, but we were told no and it’s locked til the 30th (I appreciate the security, but really hoped if in-person with any info they needed they could fix it).

Worst-case: I don’t upgrade her hardware and when she goes back home she will get a call or text from Apple to unlock that account.

Best-case (likely a pain and what I’m looking into): is there a good an efficient way to just not use that xxx@gmail.com account and just use her xxx@icloud.com account for everything? My assumption is that I might have to download each app one by one under the icloud account and hope all sets up ok. And then somehow deal with her music (though, she is already part of my family plan and I don’t think utilizing it...i’ll need to dig into that).

Anyone have experience or similar situation? Might be similar to anyone trying to consolidate their App Store account into just a single account with icloud.com. I don’t think any of her apps are paid so no lost money issue there. Wish there was an easy path to do this! AND I’ll make darn sure to write down her password somewhere. Thanks!
 
If I were in your position and concerned about getting an older family member’s device set up properly, I would consider using the iCloud account, unless she has a lot of app, movie or tv show purchases under the other account. That way you can get her up and going before she leaves. Later on, you could talk her through via FaceTime, how to switch back to the older main account if she was insistent.

Thanks. Yeah, that's what I'm hoping. What I'm just not familiar with is, while I have an iCloud backup of her current phone (12 Mini) to the Cloud and to my Mac Mini via wire, if I go to restore it to the new phone (13) and when it asks for the App Store email/pw, can I put the iCloud email and will the apps all still show up on her new phone in the same place and so on? Or will they not appear at all? I just haven't tried that step.

OR do I need to mess with and complete the transition of the app store from her gmail to iCloud addresses on her 12 Mini before I migrate to the 13?

Maybe I should try all this on her iPad first (moving her from iPad Mini 4 to iPad Mini 6) first to test the waters. Phone of course more critical for use.

It's understandable why some prefer them separately but it will be a pain in this case since the iCloud only account will not have the purchased/downloaded apps that were associated with the App Store account...

Also, I read many people are asking for Apple to have a merge functionality of 2 Apple accounts, one used for iCloud and the other used for App Store purchases/downloads, which is not yet possible for the end user, and Apple does not have the actual merge capability but rather a manual transfer and delete the unwanted account...

Yeah, that's why I was just thinking....maybe I can download all those replicate apps to her iPad (assuming cross-available for iOS and iPadOS) under the iCloud account first. Then when I flip the login for App Store on her iPhone, they should redundantly already be available there. Or am I wrong in assuming that?

You can download the apps using the iCloud account, but you may encounter issues when trying to update the apps... I have never used 2 different accounts on a single device but that may happen...

Another thing to consider, there are apps no longer available in the App Store and are only available to the App Store account...

I have 2 different Apple accounts [Apple ID] that I both use for App Store downloads/purchases and iCloud and I tried as much as possible to have both the same apps but because some apps are no longer available, the newer account does not have the same list of apps as the older one...

Thanks. Good point. Hopefully nothing important that she uses if still an old app. I'll find out for sure tonight or tomorrow. I'm going to try this I think.
 
Allright, I think I got it all set up. Started with iPad. Did backup from old iPad to cloud as-is. Restored to the new iPad (skipped when it asked for the password for the @gmail account). All of the apps and icons showed up on the screens in the right places just like the old iPad. Then went through the fun of changing her App Store login to the @icloud account and then one by one re-downloading each of the apps that had the little download cloud. The good news was it just replaced and updated the apps in-place where they were (didn't have to re-shuffle or anything). But again, was one by one for the few dozen apps.

Did the same then for the iPhone and then swapped the SIM card over. Everything seems to be ok (including the Apple Music link to me). I did have to go into her iCloud settings and change the purchases account from the @gmail to @icloud and then all seemed good.

I'm sure i'll hear today or tomorrow if things aren't right, but I believe all is good!
